Create and manage voicemail Distribution Lists

Introduction

Immediately broadcast a message to any combination of customers and colleagues using a Group Distribution List. You can create up to six different lists and use them to send voicemail to specific audiences.

Create a Group Distribution List

From the Voicemail Main Menu:

  • Press 4 for personal options.

  • Press 2 for administrative options.

  • Press 2 to establish or change Group Distribution Lists.

  • Press 1 to create a Group Distribution List.

Then, follow these steps:

1. Enter list number

Enter a list number between 11 and 16.

  • If the list number is already in use, you'll be told the list is unavailable.

  • If more than six lists have already been created, you'll have to delete a list before creating a new one.

2. Record list name

You will be asked to assign and record a name for the list. When you have completed assigning a name to the list, you will be prompted to press # and will be directed to the Edit List Menu.

3. Assign list members

Once in the Edit List Menu, enter a telephone number, and then press #.

  • If the telephone number is not a member of the list, the number will be added.

  • If the telephone number is a member of the list, the number will be removed.

  • Press 1 to listen to the names and numbers on the list.

If you try to add a number to a list that has reached its capacity (25 members), then you will be routed to the List Full Menu.

  • Press 1 to listen to the members of the list.

  • Press 2 to delete a member of the list.

  • Press 3 to create a new list.

  • Press * to go back to the Edit List Menu.

Edit a Group Distribution List

  1. From the Main Menu, press 4 for personal options.

  2. Press 2 for administrative options.

  3. Press 2 to establish or change Group Distribution Lists.

  4. Press 2 to edit a list.

  5. Enter the list number that you would like to edit or delete.

  6. Once in the Edit List Menu, enter a telephone number, and then press #. If you enter a number that is already on the list, the number will be removed. If you enter a number that is not on the list, the number will be added

  7. Press 1 to listen to the names and numbers on the list.

Delete a Group Distribution List

  1. From the Main Menu, press 4 for personal options.

  2. Press 2 for administrative options.

  3. Press 2 to establish or change Group Distribution Lists.

  4. Press 3 to delete a list.

  5. Once in the Delete List Menu, press 1 to keep the list or press 2 to delete it.

  6. You will be directed back to the Group Distribution List Main Menu.

Review list names

  1. From the Main Menu, press 4 for personal options.

  2. Press 2 for administrative options.

  3. Press 2 to establish or change Group Distribution Lists.

  4. Press 4 to review names of a group list or edit list names.

  5. Press 1 to listen to all list numbers and recorded names in numerical order. At the end of the list, you will be directed back to the Group Distribution List Main Menu.

Edit list names

  1. From the Main Menu, press 4 for personal options.

  2. Press 2 for administrative options.

  3. Press 2 to establish or change Group Distribution Lists.

  4. Press 4 to review names of a group list or edit list names.

  5. Press 2 and enter the list number for the Group Distribution List you want to rename. You will be prompted to record a name for the list. When the recording is completed, you will be routed to the Group Distribution List Main Menu.

Forward a message to a Group Distribution List

  1. From the Main Menu, press 1 to listen to voicemail messages.

  2. Press 0 for more options.

  3. Press 6 to send a message to someone else.

  4. Enter a list number, and then press # to forward the message to that Group Distribution List.

Create and send a message to a Group Distribution List

  1. From the Main Menu, press 2 to create a message.

  2. Record your message, and then press #..

  3. Enter a list number, and then press # to send the message to that Group Distribution List.
